How to add a managed visit on a patient account

Step 1: Right click on the Managed Visit folder in the Patient Tree and select “New”.

Step 2: Enter the appropriate Managed Visit information and click “OK”.

MANAGED VISIT FIELD DICTIONARY
- Click the Managed Plan drop-down menu to select the insurance plan that the authorization/referral is for.
- Enter a Referral Description (basic description of what the auth/referral is for)
- Select a Referral Type (This should always be received)
- Status will default to and remain as open. You can manually change this to cancelled or closed when needed.
- Referred To – Enter the resource code (or click ‘Referred To’ to search and select) for the provider that will be performing the procedure(s).
- Referred By – Enter the referring physician code (or click ‘Referred By’ to search/select) for the provider that referred the patient to your practice.
- Prior Authorization – Enter the authorization number or details needed on the claim
- Treat Type – Choose from Consult, Consult/Treat, or Treat, based on the services covered by the authorization.
- Visits Allowed – Enter the number of visits allowed for the authorization
- Amt Allowed – Enter the charge amount allowed by the authorization (if a monetary value is allowed in lieu of a number of visits)
- Start Date/End Date – Enter the start and end date based on the timeframe the authorization is valid. Start date is required.
- Location – Record the location where the services will be performed (if needed)
- Diagnosis – Record the diagnosis associated with the authorization (if needed)
- Free Text – Enter any notes related to the managed visit here. These are for viewing purposes only and will not transmit to a claim.
The bottom portion of the managed visit screen will display any managed visits associated with the patient account. You can single-left-click the managed visit from this section to view/edit any information necessary without the need to close the current window and open a new window.
